Terms and Conditions

These Terms and Conditions apply to tuition and learning support provided by Aspiring Minds Tuition Limited (AMT). By booking tuition or confirming a place, you agree to these terms.

Term Dates

We follow the Wakefield school holidays. Please see our Term Dates page for the current calendar.

During school holidays, we offer ad hoc bookings, subject to availability. Please ask your tutor in advance if you would like to arrange a holiday session.

Fees and Payment

Fees are confirmed at the time of booking and may vary depending on the provision, subject, tutor, session type or programme. Payment is required in advance of each session. Payment can be made weekly or at the beginning of each term, in full. Any examination, registration or external awarding organisation fees are separate and will be confirmed at the time of booking.

Session Length

Our standard session length is 55 minutes. We also offer 25-minute check-in sessions for learners who may benefit from a shorter session to check progress, provide support or maintain engagement between longer sessions. Where a block of sessions, such as two or three sessions, is delivered together, appropriate breaks will be incorporated according to the learner's individual needs.

Tuition Delivery

Tuition may be delivered:

  • Online

  • At the learner's home, where agreed

  • At The Aspiring Minds Space in Durkar (WF4)

  • At another agreed venue

The arrangements for each learner will be confirmed at the time of booking.

Information Obtained

We always have an initial conversation with the parent/carer before tuition begins. We obtain as much relevant information as possible to help us understand and support each learner as an individual.

Parents/carers are responsible for providing relevant information that may affect the learner's education, including SEND, learning, medical, communication or wellbeing needs.

Communication

For learners under 18, communication will be with the parent/carer/local authority.

We may communicate by email, telephone or WhatsApp. Parents/carers are responsible for ensuring that AMT has up-to-date contact and emergency information.

Learner Progress

We work with learners, families and other professionals to establish appropriate educational and personal goals. Progress may be reviewed through tutor feedback, learner work and regular discussions.

Learner Absence and Cancellations

We do not offer refunds for cancelled sessions. If you need to cancel a session, please speak with your tutor as soon as possible, as they may be able to offer an alternative time for the session.

Where a learner is unable to attend, materials from the session will be provided and uploaded to our secure learning platform, allowing the learner to access and complete the work when they are ready. We can provide support through the platform to help the learner complete the missed work where appropriate.

Tutor Absence

If a tutor is unable to deliver a planned session, AMT will aim to rearrange the session where possible. If the session cannot be rearranged, a credit will be added to the next invoice where applicable. If tuition has ended, the unused session will be refunded.

Stopping Tuition

To terminate your tuition, we ask for 4 weeks' notice, ideally giving notice at least 4 weeks before the end of the half term. Any sessions falling within the 4-week notice period remain payable, whether or not the learner attends. Where payment has been made in advance for sessions that fall after the 4-week notice period, any unused balance will be refunded.

Learner Agreement

All learners are expected to follow our Learner Agreement – Code of Conduct, which sets out our expectations for respectful behaviour, participation and maintaining a positive learning environment.

Safeguarding

AMT has safeguarding procedures in place and a Designated Safeguarding Lead (DSL).

Where necessary to protect a learner or another person, information may need to be shared with parents/carers, professionals, local authorities or safeguarding services.

Data Protection

AMT handles personal information responsibly and in accordance with applicable data protection requirements.

Information may be used for tuition, communication, learner records, progress monitoring, safeguarding and examination purposes. Please see our GDPR and Data Protection Policy for further information.

Resources

Resources provided by AMT are for the learner's educational use and must not be copied, sold, distributed or commercially reproduced without permission.

Examinations and Qualifications

Where AMT supports a learner with an examination or qualification, the relevant awarding organisation's rules and requirements must be followed. Any external examination or registration fees will be confirmed separately. As an approved partner with Tutor and Exams, we are able to offer discounted examination fees to learners who receive tuition through AMT.

Liability

AMT will provide tuition and learning support with reasonable care and skill. However, we cannot guarantee a particular educational outcome, examination result or qualification.

Acceptance

Before tuition begins, the parent/carer or adult learner will be asked to confirm acceptance of these Terms and Conditions by ticking the relevant box on the AMT booking form. By ticking the box, you confirm that you have read and agree to these Terms and Conditions and the agreed tuition arrangements.
